Annual Vacation Cutback Reminder

As we approach September, we encourage all Kent State employees who are eligible to earn vacation to review your balances and consider requesting approval to take time off before September 30 so that you do not lose any well-earned vacation time. This is an important reminder that you will experience a cutback to your vacation hours that exceed the policy maximum. Eligible employees are expected to take time off for rest, relaxation and other personal reasons during the year in which vacation is earned.

This is an informational message only and does not necessarily mean that you will have your vacation hours cut back.

Vacation Accruals Cutback on September 30, 2023

The maximum amount of vacation an employee can carry over is that which can be earned in a three-year period. Each year, at the end of September, vacation balances are cut back to the maximum accrual allowed per the .

Vacation hours are earned each pay period and your accrual rate varies according to your years of service and your type of appointment (i.e., classified or unclassified status). An explanation of vacation accrual rates, eligibility and usage is explained in more detail at the .

At this point in time, it is difficult to determine who will be affected by the cutback because of ongoing accruals and use of vacation time that will occur between now and September 30, 2023.

How to View Your Vacation Balance

To determine your current accrual, please take a few minutes to view your leave balances in . Once you have logged in, click on "Employee" and then click "Dashboard." Once you are in your Dashboard, in the Top Employee Resource Panel, click on the "Employee Profile Dashboard" and compare your balance with the Vacation Leave Accrual chart that can be found on the website listed above.

Unclassified staff, please be aware that if you have unapproved leave in the FlashLine leave reporting leave system, it has not yet been deducted from your leave balance.

Please make sure that all your leave is being deducted correctly so that you do not go over your three-year vacation accrual maximum. If you are over, please remember that you must use that time by September 30, 2023. After that date, you will lose any vacation hours accrued beyond the maximum.

If you have questions, please contact a member of the Human Resources Records unit by phone at (330) 672-8316 or by email at hr-records@kent.edu
