New Policy Register Operating Procedure

 

BY EMBEDDING A FORM ON A WWW.KENT.EDU WEBPAGE, DRUPAL USERS ACKNOWLEDGE ACCEPTANCE AND COMPLIANCE WITH THE WEB FORM OPERATING PROCEDURE.

 

The Web Form Operating Procedure is an operating procedure attached to Section B of the  Administrative Policy Regarding Web Publishing Policy Register 9-01.3.  Acceptance of this operating policy is required of all Drupal editors.

 

After extensive research Qualtrics became the web presence group’s approved form tool in November 2015 because of its accessibility attributes. Online forms should not be built using any technology except for Qualtrics.

 

Employees with access to Drupal, the Kent State content management system, is a data steward and needs to be informed that creating a form that requests private information comes with certain privacy standards.   Acceptance of this operating policy is required of all Drupal editors. Any exceptions need approved by Information Services Vice President and the University Relations Senior Vice President.

 

Featured Content Element aka Horizontal Teaser

In order to comply with federal web accessibility laws the Leave node title box must be selected when adding an existing node to a page using the Horizontal Teaser build mode option.

 

New File Size Limits

New file size limitations have been implemented. A separate email will be sent if your site has images or files that need replaced based on size.. Please be sure your files meet the following size limitations:

  • Images - 1 MB
  • Videos - 3 MB
  • Other file types (PDF, Word, Excel, etc.) - 5 MB

WHAT’S NEW

 

PDF File Automatically Displayed

Links to File node IDs will now display the actual file rather than a page that displays a link to open the file.  If you link directly to any files you will want to change them to link to the node ID.  This will ensure links to the file  will not break or need updated  if the file is updated.  When linking to the node, the most recent file will always be displayed.  If your File Page has content in the body field, it will not go directly to the file.  Please note, action will only take place when you are not logged into Drupal.

The new is a printable overview of information web editors should be familiar with.  It contains an overview of the Guide to Marketing with links to the appropriate web pages.  There is also a section titled, “The Short List,” which details the most commonly used information for web editors.

 

New Location for Web Support
A new section is available on the University Communications & Marketing: Web Services website.  The Web Support section contains information for self support, known issues and a support services section which contains various forms that can be submitted to request these web team services:
