Booking a hotel
You may book travel through the Christopherson Business Travel or by contacting CBT directly for agent-assisted help and customization (fees may apply):

Contact the desired hotel prior to booking through Christopherson Business Travel. Request an authorization form to use a department credit card. Note, sales tax should not be applied when using departmental purchasing card. Some hotels may not have the ability to use a pre-authorization form. It’s always best to call ahead and explain your need. If the hotel allows pre-authorization to use a credit card in someone else’s name, be sure to call to confirm receipt of the form prior to travel.
Employees paying for goods or lodging with a personal credit card or funds are not exempt from sales tax regardless of whether Kent State will reimburse the expenses.
Several states do not have sales tax exemptions. Other states, such as New York, do not allow an exemption for other states government.
In cases where the hotel will invoice the university directly, the university is exempt only in Connecticut, Florida, Idaho, Kentucky, Michigan, New Jersey, North Dakota, Tennessee, Washington DC, and West Virginia. Please contact tax@kent.edu for further assistance with out of state sales tax requirements if using the departmental credit card to pay.
